Annual Space Survey

Purpose

The Annual Space Survey is the basis for the University’s annual Facilities and Administrative (F&A) rates and is a critical component of the rate proposal. The Office of Space Planning (OSP) administers this survey annually to update and maintain the University’s space database- AiM. The data collected is vital for internal and external reporting, supporting our first responders, assessing departmental needs, and determining cost allocations.

Regulatory & Financial Compliance

  • F&A Costs: Directly impact the recovery of indirect research costs.
  • Compliance: Ensures the University meets federal and state reporting requirements.
  • Depreciation: Tracks building and equipment depreciation for financial audits.

  • Capital Projects: Validates the requirements and justifications for new construction.
  • Strategic Planning: Provides support for University-wide growth initiatives.
  • Utilization Analysis: Used to assess how efficiently departments are using their allocated space.

 

Operations & Safety

  • O&M Costs: Helps calculate Operations and Maintenance costs associated with structures.
  • First Responders: Provides accurate floor plans and room data for emergency personnel.

A Collaborative Effort

The stewardship of NMSU’s facilities is a shared responsibility between the occupants of the space and the administrative units that oversee them. Keeping this information up to date is essential, as many integrated University systems rely on the accuracy of Facilities’ data.
